1. Introduction

Coastal Haven Management LLC ("Coastal Haven," "we," "us," or "our") respects your privacy. This Privacy Policy explains what personal information we collect through our website at coastalhaven.top and through our property management services, how we use and share that information, and the choices and rights you have.

This policy applies to property owners, guests, job applicants, vendors, and any other individual whose personal information we may process. It does not apply to third-party websites or services we don't control, even if they're linked from our site.

3. Information we collect

We collect personal information in three ways: information you give us directly, information collected automatically when you use our site, and information we receive from third-party platforms.

3.1 Information you provide to us

  • Contact information — name, email address, phone number, mailing address.
  • Property information — address, property type, size, ownership status, current rental situation.
  • Booking and consultation details — preferred dates, times, and formats for calls or meetings.
  • Guest information — when you book a stay at one of our managed properties, we receive your name, contact information, booking details, and identification information needed for verification.
  • Applicant information — if you apply for a job with us, we collect your resume, work history, references, and other information you choose to share.
  • Communications — messages you send us through our contact form, email, chat, phone, or SMS.

3.2 Information collected automatically

  • Device and browser information — IP address, browser type and version, operating system, device identifiers.
  • Usage information — pages viewed, time on page, referring URLs, links clicked.
  • Approximate location — derived from IP address, used for analytics and to localize content.
  • Cookies and similar technologies — as described in Section 6 and in our Cookie Policy.

3.3 Information from third parties

  • Booking platforms — Airbnb, Vrbo, Booking.com, and Expedia share guest and booking data with us as needed to fulfill reservations.
  • Property owners — when we manage a property, the owner may provide us with guest and property records.
  • Service providers — payment processors, background-check providers, and analytics tools may share information with us that helps us operate our services.

4. How we use information

We use personal information for the following purposes:

  • To provide our vacation rental management services, including guest communication, booking management, cleaning coordination, and maintenance dispatch.
  • To respond to your inquiries, schedule consultations, and deliver written revenue projections.
  • To process job applications and manage our relationship with team members.
  • To meet our legal, tax, and regulatory obligations, including short-term rental licensing and tax remittance under Florida and Miami-Dade County law.
  • To detect, prevent, and respond to fraud, security incidents, and abuse.
  • To improve our website, services, and user experience.
  • To send you service-related communications and, where you have opted in, marketing communications.
  • To comply with applicable law and respond to lawful requests from public authorities.

We do not sell your personal information, and we do not use automated decision-making to produce legal or similarly significant effects without human review.

5. How we share information

We share personal information only as described below. We do not sell personal information.

  • Service providers — vendors that help us operate, including cloud hosting, payment processing, communication tools, cleaning and maintenance contractors, and analytics providers. These vendors are contractually required to protect your information and use it only to provide services to us.
  • Property owners — when you are a guest at a managed property, we share booking and communication data with the property owner as necessary to run the rental.
  • Booking platforms — Airbnb, Vrbo, Booking.com, and Expedia receive information as needed to complete bookings and handle disputes.
  • Professional advisors — accountants, attorneys, and insurers as needed to operate our business.
  • Legal and safety — when we believe in good faith that disclosure is necessary to comply with the law, respond to legal process, protect our rights, or protect the safety of any person.
  • Business transfers — in connection with a merger, acquisition, or sale of assets, in which case we will notify you of any change in ownership or use of your information.

6. Cookies and tracking technologies

7. Data retention

We retain personal information for as long as necessary to fulfill the purposes described in this policy, comply with legal obligations, resolve disputes, and enforce our agreements. Specific retention periods:

  • Guest data — retained for 7 years to satisfy tax, insurance, and legal recordkeeping requirements.
  • Owner and property records — retained for the duration of our management agreement and for 7 years afterwards, as required by Florida law.
  • Job applicant data — retained for 2 years after the application, unless you ask us to delete it sooner.
  • Website analytics — retained for up to 26 months in aggregate form.
  • Marketing contacts — retained until you unsubscribe or request deletion.

8. Security

We implement and maintain reasonable administrative, technical, and physical safeguards designed to protect personal information. These include:

  • Encryption of data in transit using TLS 1.2 or higher.
  • Access controls limiting who can view personal information to authorized team members.
  • Regular security reviews of our systems and vendors.
  • Employee training on data protection and privacy.

9. Your privacy rights

Depending on where you live, you may have the following rights regarding your personal information:

10. Notice for California residents

If you are a California resident, you have additional rights under the California Consumer Privacy Act (CCPA), as amended by the California Privacy Rights Act (CPRA).

Categories of personal information collected in the last 12 months: identifiers (name, email, phone, IP address), commercial information (booking history, property records), internet activity (site usage), professional information (job applicants), and inferences drawn from the above.

Purposes of collection and use: as described in Section 4 above.

Categories of third parties to whom information is disclosed: as described in Section 5 above.

Sale or sharing of personal information: Coastal Haven does not sell personal information for monetary or other valuable consideration, and does not knowingly share personal information for cross-context behavioral advertising.

11. Children's privacy

Our services are not directed to children under 16, and we do not knowingly collect personal information from children under 16. If we learn that we have collected personal information from a child under 16 without verified parental consent, we will delete it. 12. International users

Our services are operated from the United States and are intended for users located in the United States. If you access our site from outside the U.S., please be aware that your information will be transferred to, stored, and processed in the United States, where data protection laws may differ from those in your jurisdiction.

13. Changes to this policy

We may update this Privacy Policy from time to time. When we make material changes, we will post the updated policy on this page and revise the "Last updated" date at the top. Your continued use of our services after the update takes effect constitutes acceptance of the changes.
